The Role

Reporting to the Senior Project Manager, you will join a team that also includes a Project Coordinator. The team is part of our overall IT Department of about 15. We are in the process of transitioning from legacy systems to leading edge solutions, primarily in Microsoft. As part of this transition we have formalized a project management function to bring the necessary rigor and organization to this initiative and others.

While much has been done regarding the transition, there is still a good deal of work to do, and that's where you will come in. As an integral member of the project team, you will be responsible for the overall direction, implementation, execution, control and completion of all aspects of complex project management. At any given time you will have multiple projects under way. Smaller projects may last three to four months, but there also will be larger ones that last a year or longer. The overall transition project still has several years before completion.

The IT Department uses agile lifecycle methodology, and you may have opportunities to act as Scrum Master. In addition, the Project Management team may be involved in non-IT projects down the road. Quick question for you - click here

You will leverage your expert knowledge of project management methodologies, tools and templates to ensure project execution remains consistent with company strategy, commitments, and goals. This will include:
  • Applying the principles of the Project Management discipline to help drive predictable, consistent project delivery.
  • Demonstrating expertise in maintaining project documents using approved methodology, tools, and templates.
  • Using project scheduling and control tools to monitor project progress, quality and risks.
  • Leading stakeholder meetings to determine project scope and requirements.
  • Effectively and accurately communicating relevant project information to stakeholders and the project team.
  • Ensuring stakeholder needs are met in a timely and cost effective manner.
  • Keeping the PM team and others informed of project statuses and issues that may impact deliverables, and helping manage department and stakeholder relations.
  • Preparing and publishing timely status reports and presentations as needed.
  • Constructively communicating ideas for improving company processes.

Why the NNA

Make your mark -- we are in the midst of positive transformation across the organization, making this a great time for talented and motivated professionals to make an impact. You'll help shape both this role and the project management function moving forward. Your activities will be visible to our senior leaders. The CTO makes a point of gathering input from the various IT Managers, and the Managers get input from the professionals they supervise. This has created a strong sense of shared ownership within IT.

Professional development -- we know you'll bring strong experience with you, but there will be plenty to learn in this role. For example, you'll be involved in foundational projects and gain exposure to the most current technologies in a cloud-based environment, such as .NET and Azure. In addition, each member of the Project Management team has developmental goals and we'll help you expand both your technical and "soft" skills.

Great environment -- our senior leadership is dedicated to promoting a positive and collaborative culture through fun events like holiday parties and ice cream truck Fridays (see the video, above). We have a large dining room and, instead of vending machines, we have an open mini-market. Within IT the CTO is big on teambuilding, and we hold potlucks and outside events at least quarterly. You also will find some old-fashioned values, like an unwavering commitment to the moral and ethical integrity that is fundamental to the Notary Public profession.

Mission-driven work -- throughout the NNA you will find a passionate commitment to supporting our members and the Notary profession. This profession deters fraud (including identity theft) and helps ensure the integrity of a variety of transactions, from property sales to assignments of power of attorney. The work you do will help our team deliver on that commitment.

The nation's leader -- we offer services and products for every stage of a Notary's career, from obtaining an original commission to ongoing education, professional supplies, bonds and insurance, emerging technologies, and more. We are also a trusted adviser to many state officials in the development and implementation of notary regulations.

Excellent compensation -- in addition to a competitive salary and bonus incentive program, we offer a comprehensive benefits package that includes medical, dental, life, and disability insurance; a 401(k) plan with company match, annual profit sharing, and generous paid holidays and paid time off plans.

The 2016 California Notary Law Primer is the 40th edition of this one of many state-specific handbooks. Below, backed by almost 60 years of expertise, the NNA is the nation's leader in providing Notary training and education. Incorporating state-specific requirements and standard practices, the NNA offers comprehensive live and online training programs.

Keys to Success

Your project management expertise will be essential, of course, but just as important will be communication and interpersonal skills. There will be some "heads down" planning and scheduling time, but you also should enjoy working with people. For example, while we don't expect you to be a developer, you should have enough technical savvy to communicate effectively with Engineers. At the same time, you should have a knack for presenting technical information to non-technical people. In addition, as a seasoned veteran, you know the saying: "Project Managers have all of the responsibility, with none of the authority." You'll use your interpersonal and leadership skills to get buy-in on projects, and to influence and motivate others.

If you're looking for a role in which you'll be handed a playbook, this may not be the position for you. It goes without saying that you'll write the playbook for your projects, but even beyond that our environment is evolving. You won't hear, "Here's your task list;" instead, we'll ask, "What do you think?" and expect you to engage in decision-making. We like to describe our project plans as "liquid plans," so you should be comfortable dealing with changing priorities. Those who thrive in our organization see the big picture, take initiative and maintain a strong sense of ownership.
