Résumé-Building Role on Team Converting Entire System to Cutting-Edge Technology

If you combine strong analytical skills and intellectual curiosity, this position offers you the opportunity to expand your skills and experience as part of the team re-writing all of our systems in cutting-edge technology. If you already have system conversion experience, great; if not, you will get it in this role, including exposure to blank-slate development of proprietary systems and evaluation and integration of off-the-shelf solutions. In fact, we're adding this position because of the scope of the initiative. You will interact with people in all areas and at all levels of our organization, and in this environment strong performers can make their mark. For example, you will help us ensure we are using best practices in business analysis. You'll enjoy the entrepreneurial startup-like environment of a major initiative as well as the stability and resources of a leading 60-year-old professional association.

The National Notary Association (NNA) is the nationally and internationally recognized professional association for America's Notaries Public, and the authority and thought leader for the profession. Our high-demand professional programs, services, model legislation, and technology initiatives help Notaries advance their careers and serve the American public with the highest level of professionalism and ethics. We are committed to our members as well as to our employees, always striving to provide our people with growth and development opportunities. We are proactive about ensuring that every employee at NNA feels they have the best job ever, from promoting work/life balance to employing collaborative decision-making processes.

Among other programs and services, the the NNA is the nation's leader in providing Notary training and education, including both live and online training programs.

The Role

Reporting to the Manager of Business Analysis, you will join a team that includes three other Business Analysts and a support resource. Your primary role will be to help the business implement technology solutions in a cost-effective way by determining the requirements of a project or program, and communicating them clearly to all stakeholders, facilitators, and partners.

Our IT team is in the process of transitioning from legacy systems to leading edge systems, including cloud-based solutions. For example, we are developing an entirely new customer relationship management (CRM) system in house, and it will incorporate a content management system (CMS). The Business Analysis team also will take point on evaluating, selecting and integrating a new learning management system (LMS).

This role will involve a good deal of workflow analysis and documentation, much of which we'll be creating for the first time. As you would expect, you'll spend a good deal of time with stakeholders and users, from facilitating meetings to sitting and observing people as they work. Another important activity will be analyzing the information, including assessing the priority of different features. At any given time you can expect to have multiple projects on your plate in different stages. Projects can last a few weeks or a few months.

More specifically, you will:
  • Elicit requirements using interviews, document analysis, requirements workshops, surveys, business process descriptions, use cases, scenarios, business analysis, task and workflow analysis.
  • Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish user requests from the underlying true needs.
  • Proactively communicate and collaborate with internal/external customers and vendors to analyze information needs and functional requirements and deliver the following artifacts as needed:
    • Functional requirements (Business Requirements Document)
    • Use cases
    • GUI, screen and interface designs
    • Test cases
  • Utilize your experience in using enterprise-wide requirements definition and management systems and methodologies as required.
  • Successfully engage in multiple initiatives simultaneously, exercising judgment to ensure work is delivered on time.
  • Work independently with users, under direction of project managers, to define concepts.
  • Drive and challenge business units on their assumptions of how they will successfully execute their plans.
  • Serve as a conduit between the customer community (internal/external customers and vendors) and the software development team through which requirements flow.
  • Develop requirements specifications according to standard templates, using natural language.
  • Collaborate with developers and subject matter experts to establish the technical vision and analyze tradeoffs between usability, performance, and security/compliance needs.
  • Perform user acceptance testing, and help others with testing as needed.
  • Ensure successful user adoption of new system changes by training and writing documentation.
Note: this description is intended to give you a general overview of the position and is not an exhaustive listing of duties and responsibilities.

Above, our Notary Hotline is staffed by professionals trained to provide step-by-step guidance on specific types of notarizations, information regarding state laws and best practices, assistance filling out Notary certificate forms and more. The 2016 California Notary Law Primer is the 40th edition of this one of many state-specific handbooks.

Why the NNA

Professional development
We know you'll bring strong experience with you, but the scope of this initiative means you are bound to learn new things. For example, you may gain your first experience with user testing or product backlog grooming. The NNA supports professional development, and success in this role could set you up to pursue other opportunities within the National Notary Association (NNA).

Broad impact
You'll collaborate with people from all functional areas within the NNA, facilitating the development of systems and processes that will help them be more effective. In addition, the Business Analysis team will welcome your great ideas for improving structures and processes.

Great environment
Our senior leadership is dedicated to promoting a positive and collaborative culture through fun events like holiday parties and ice cream truck Fridays. We have a large dining room and, instead of vending machines, we have an open mini-market. Within IT the CTO is big on teambuilding, and we hold potlucks and outside events at least quarterly. You also will find some old-fashioned values, like an unwavering commitment to the moral and ethical integrity that is fundamental to the Notary Public profession.

Mission-driven work
Throughout the NNA you will find a passionate commitment to supporting our members and the Notary profession. This profession deters fraud (including identity theft) and helps ensure the integrity of a variety of transactions, from property sales to assignments of power of attorney. The work you do will help our team deliver on that commitment.

The nation's leader
We offer services and products for every stage of a Notary's career, from obtaining an original commission to ongoing education, professional supplies, bonds and insurance, emerging technologies, and more. We are also a trusted adviser to many state officials in the development and implementation of notary regulations.

Excellent compensation
In addition to a competitive salary and discretionary bonus program, we offer a comprehensive benefits package that includes medical, dental, life, and disability insurance; a 401(k) plan with company match, annual profit sharing, and generous paid holidays and paid time off plans.

Video: The NNA established the National Notary Foundation to give Notaries the opportunity to help bring about important medical, research, educational and victim-assistance goals on the micro and macro level that can change our world. Every year, the Foundation and the Notary community donate to City of Hope. In 2015 we took a tour to learn how we help them create the miracle of science with soul.

Keys to Success

It should be clear by now that there will be lots going on. In addition to having strong multitasking skills, you'll need to be flexible and able to shift gears on short notice. You'll invest a good deal of time working with details, so focus and accuracy will be essential. At the same time, while many assignments will be spelled out in black and white, some will require that you move forward while things are still a little gray. If you enjoy exploring and taking on challenges to learn new things, you should fit in well. If you're used to large corporate environments, you may need to adjust to working in an organization requiring you to be resourceful and achieve goals independently. The ideal candidate will be willing to take on any assignment and will regularly ask, "What's next? What can I do now?"

You'll need strong interpersonal and communication skills -- a must for any successful Business Analyst, of course, but it is especially true in this role. You'll interact with everyone from the CEO to Data Entry Clerks, and you'll need to be able to adjust your communication approach accordingly. You'll need to be able to influence and motivate others, but you'll also need to know when to stop talking and listen carefully.. In documenting specs, processes and workflows, your writing should be clear and succinct. You'll need enough technical savvy to communicate effectively with Developers and other IT team members, but you also should be able to present technical information in ways that are easily understood by those in non-technical roles.

Pictured: Two more essential parts of the Notary profession are surety bonds and errors & omissions insurance, to protect both the public and the Notary. The NNA offers both, providing full coverage at affordable prices.
